What are the minimum and maximum ages that can be covered?

How do I upload my data for new business quotes?

Upload your data using one of two options:

Option 1:

Use an Excel spreadsheet or use our template available on the platform and save it as a normal Excel spreadsheet – our template does not require the use of a CSV file.

Here are some tips for a successful data upload:
  • Make sure your Excel template includes the headers for first and last name, even if you're not intending to upload these. Our system needs to see all eight headers to upload the data:
    • first name
    • last name
    • date of birth
    • sex
    • work postcode
    • salary
    • job title
    • category
  • Your data needs to be on the first tab of the spreadsheet.
  • Ensure you don't have any duplicate columns, e.g. date of birth and DOB.

Option 2:

Enter member data manually. You'll need to add three members minimum and these will be shown in the table format once you reach step 7.

To make any amendments, simply click 'edit' and this will open up the member record for you to make changes.

Can I quote for loaded members?

Yes. You can quote for members with medical underwriting loadings up to 200% for Group Life and 100% for Group Income Protection. These loadings will be ignored up to the new free cover level.

Can I quote if the scheme includes members who have been declined, postponed or had exclusions applied?

No. If you have a scheme where any lives have been declined, postponed or had exclusions applied, these cannot be quoted for online.

You may still be able to get a quote with us by emailing the scheme details to our Underwriting Team at groupprotectionquotes@aviva.com

Can I complete the application form online?

No. Our application form will be sent to you with some pre-populated information as a digital PDF in the on risk confirmation email. The form is interactive so you can type in the information required. You do not need to print the form. Simply save it and return it to us as instructed.

Can I quote for Limited Liability Partnerships?

Yes. We can quote for Equity Partners who are members of a Limited Liability Partnership. Equity Partners can only be quoted online with associated employee members on the policy.

For Group Income Protection schemes, these members will need to be included in the category option for Limited Liability Partnership Members. The benefit amount will be 50% of average earnings from their business over the previous three years, or such lesser period as the partner has been a partner of the partnership, less any amount allowable against income tax as expenses where applicable, and before the deduction of tax.

Can I get a Group Life quote with a mixture of registered and excepted benefits?

Yes. When selecting your product type at step 1, select the registered and excepted or registered and excepted Master Trust option. You can set up categories as either registered or excepted at step 5.

Can I get a flex quote in Aviva Fusion?

No you can't quote, renew, initiate a rate review or obtain scheme history reports for flexible benefit schemes.

How long is the quote valid for?

Quotes are valid for 90 days from the quoted date. Please check the quote document for the specific expiry date.

Renewal

What types of policies can I renew online?

You can renew most Aviva policies (except flexible benefit policies) starting with the letter G and which have between 3-250 lives. If you can’t renew online, you'll be prompted to generate an email and send your data to the relevant team.

Why can I see some policies that have been placed on risk by a colleague?

When searching for your Group Protection policies on our Adviser site, you may be able to view your colleague’s Group Protection policies if they work at the same office as you. This may be a different experience to other products you service on our site.

This is due to the Terms of Business held between your company and Aviva, rather than yourself as an individual. This structure is reflected in the Adviser site, and as the Terms of Business are held with the company, other advisers viewing your policies will not breach any Data Protection rules.

Can I manually edit members for a renewal?

For policies with under 20 members, you’ll be able to manually add, remove and amend members or use our Excel template.

For policies with over 20 lives, you won’t be able to manually edit members and will need to use our Excel template.

I’ve not received the renewal confirmation email what should I do?

Please allow up to 30 minutes for the email to come through to you. If you’ve still not received an email from us,there may have been an error in the process of the renewal. We’ll contact you about this as soon as possible, usually within 48 hours.

If you do not hear anything from us please get in touch with the team at groupprotection@aviva.com.

How do I upload data for a Group Protection renewal?

If you have lots of changes to make or have a policy with more than 20 members to renew, you'll need to upload your member data using our Excel template.

  1. Once you've downloaded the template, click 'enable editing'.
  2. Hover over the title to find tips and guidance on how to correctly format your data
  3. It's important to make sure you've entered the data in the expected format to avoid the spreadsheet being rejected (e.g. no formulas or links to other data sources).
  4. Once you've added your data, save your file as a normal Excel spreadsheet
  5. Drag or upload your file into the blue box on your screen.
  6. Once it has successfully uploaded, you'll be able to see your data and make any changes. Please note, red notifications indicate that the member needs attention. This might be something like a missing category code.
  7. Amber notifications will show you any members that are to be excluded from the policy and will explain why within the system. An example of this may be that some members don't meet the eligibility criteria.
  8. If you make any changes, remember to click 'save'.
  9. Once you've saved your data, you'll be presented with a renewal overview which will give you a high level summary of the changes you've made. This is to ensure you're happy with the changes.
  10. Click the confirm button at the bottom once you're happy and process your renewal.
